Basic Policies Related to Personal Information Protection

ZENOAQ (Nippon Zenyaku Kogyo Co., LTD.) (hereafter, The Company), as one of the top companies in Japan engaging in the development, manufacturing, purchase, and sale of veterinary pharmaceuticals, gives top priority to the trust received from our customers while developing a wide range of business activities. We think that the appropriate handling and protection of the personal information acquired through our business is a vital responsibility of a company, and in order to become a company that is appreciated and trusted by everyone in society, we have established the policies related to personal information protection to protect the personal information of all, including our customers, business partners, and staff listed below.

  1. Compliance with laws and regulations
    The Company complies with laws, national guidelines, and other rules with regard to handling of personal information. In addition, we have established the necessary in-house regulations and ensure that all staff and board members are thoroughly informed of said regulations.
  2. Appropriate acquisition
    The Company acquires personal information through lawful and fair means. In addition, personal information items acquired by The Company are kept to the extent necessary for the business.
  3. Clarification of the purpose of use and usage restrictions
    The Company publishes or releases notifications with clarifications of the purpose of use of personal information acquired, and uses said information within the scope of the specified purpose of use.
  4. Protection and management of personal data
    The Company, in order to prevent the loss, destruction, leak, falsification, or unauthorized access of personal data held by The Company, appropriately protects and manages said data by taking the necessary safety measures and ensuring that all information is up to date.
  5. Responses to complaints, introductions, and changes
    The Company has established a representative contact system with the aim of providing appropriate responses to inquiries with regards to the handling of personal information. We provide quick and appropriate responses with regards to: complaints and consultations related to personal information; notifications of the purpose of personal information subject to disclosure; disclosures; content corrections, additions, or deletions; suspensions of use; and requests for deletions or suspension of the discontinuance of distribution to third parties.
  6. System development, education, and supervision
    The Company, for the proper use and protection of personal information, has established the necessary in-house systems, and provides the education of staff and board members, as well as the necessary and appropriate supervision of outsourced subcontractors.
  7. Improvement initiatives
    The Company continuously reviews and improves its personal information protection policies.

About the Handling of Personal Information

  1. About the purpose of use of personal information by The Company
    1. In the case of personal information acquired from documents published directly by the individual, the purpose of use is handled within the scope outlined below; however, each time a situation arises involving purposes of use outside of that scope, the individual is notified and consent is acquired.
      1. Uses of personal information of veterinary personnel
        • Distribution of product and sample product (hereafter, Products) offers
        • Collection/distribution of information in the case of accidents and Product recalls
        • Collection/distribution of information related to proper use/quality/safety/effectiveness of Products
        • Collection/distribution of academic information, including veterinary science and pharmacological science
        • Information on conferences, seminars, etc.
        • Collection/provision of marketing information, including actual use of Products, customer needs, etc.
        • Requests for clinical trials, post-marketing surveillance, etc.
        • Requests for lectures, writings, media coverage, etc.
        • Responses to questions/complaints related to Products and services
        • Various postal addresses for business contact purposes, etc.
        • Congratulations, condolences, seasonal greetings, etc.
      2. Uses of personal information of livestock animal (cattle, pigs, poultry, etc.) breeders/proprietors
        • Distribution of product and sample product (hereafter, Products) offers
        • Collection/distribution of information in the case of accidents and Product recalls
        • Collection/distribution of information related to proper use/quality/safety/effectiveness of Products
        • Collection/distribution of academic information, including veterinary science and pharmacological science
        • Information on conferences, seminars, etc.

      3. Uses of personal information of companion animal (dogs, cats, rabbits, etc) breeders/proprietors, and registered users of The Company's website for pet owners
        • Sending Products on commission from veterinary medical facilities
        • Responses to questions/complaints related to Products and services
        • Distributing information to registered users of the site
      4. Uses of personal information of employees of business partners (Product and raw material manufacturers, importers, wholesale distributors, etc.)

    2. Regarding cases where personal information is acquired from sources other than documents received directly from the individual, the contents of telephone calls may be recorded so that we may respond. In these situations, personal information is handled within the scope of the purposes of use listed below.
      1. Situations where an order was placed via telephone call to our call center from veterinary personnel or livestock breeders/proprietors

  2. Security Control Measures
    The Company has taken the measures listed below with regards to personal information in order to prevent leakage, loss, or damage, and to maintain appropriate control of personal data.

    (Basic Policy Formulation)

    • In order to ensure the proper handling of personal information, The Company has enacted basic policies related to personal information protection.

    (Development of Policies Related to the Handling of Personal Data)

    • The Company has formulated personal information protection policies related to handling methods, supervisors/managers and the duties thereof, etc., for each stage of the acquisition, use, preservation, distribution, deletion/disposal, etc. of personal information.

    (Institutional Security Control Measures)

    • The Company has appointed supervisors (Personal Information Protection Administrators) for the handling of personal data.
    • The Company has clarified which employees are to handle personal data, and the scope of the personal data that is to be handled by said employees.
    • The Company has developed a report contact system for communicating with personal information protection administrators in situations where violations of the law or of in-house policies, or situations where indications of such violations have been identified, and a system for emergencies.

    (Individual Security Control Measures)

    • Through compliance education or similar, employees are provided training related to the handling of personal information.

    (Physical Security Control Measures)

    • The Company has established employee entry and exit management and similar restrictions regarding areas in which personal information is handled.
    • The Company has implemented measures to prevent the viewing of the abovementioned personal information by persons without authorization to handle said personal information.
    • The Company has implemented measures in order to prevent the theft, loss, etc., of equipment, electronic media, documents, etc., which handle personal information.

    (Technological Security Control Measures)

    • By implementing access control, The Company has limited the managers who may access personal information and the scope of the personal information being handled which can be accessed.
    • The Company operates a personal information handling information system, a mechanism by which personal information is protected from unauthorized access from outside parties and from malware.
  3. Distribution of Personal Information to Third Parties
    The Company manages personal information appropriately, and does not distribute personal information to third parties without acquiring the consent of the individual to whom that personal information pertains in advance. However, exceptions apply in the situations listed below.
    1. Situations in accordance with the law
    2. Situations in which it is necessary in order to protect a person's life, body, or property, when there are difficulties in acquiring the consent of the individual.
    3. Situations in which it is especially necessary in order to improve public health or to promote the healthy raising of children when there are difficulties in acquiring the consent of the individual.

Situations in which it is necessary to cooperate the execution of business as stipulated by law according to national functions, local public organizations, or persons who have been entrusted with the duties thereof, when there is a risk that the execution of the abovementioned business might be impeded by acquiring the consent of the individual.
  4. Shared Use of Personal Information
    The Company conducts the shared use of the personal information of customers (groups related to livestock, livestock veterinary clinics, small animal veterinary hospitals, livestock farms) according to the guidelines outlined below.

      Names, company names, addresses, postcodes, phone numbers, fax numbers, e-mail addresses, sales product names/specifications/amounts/costs, consultation contents/number of consultations

  5. Entrustment of Personal Information
    The Company may entrust personal information with other employees to the extent necessary to achieve the purpose of use. In such situations, contractors with established personal information protection systems are selected, and a contract regarding personal information is signed.
  6. Information Processed Anonymously and Information Processed under Pseudonyms
    The Company does not create information processed anonymously (personal information which has been processed such that the specific individual cannot be identified, and the information cannot be restored) or information processed under pseudonyms (personal information which has been processed such that the specific individual cannot be identified without comparing with other information). In situations where such information is created, The Company processes the information appropriately as stipulated by the law and takes security control measures, and discloses the items of information related to the individual, including said processed information.
  7. Responses and procedures regarding information disclosures, corrections, suspensions of use, etc.
    In situations in which there is a request to The Company for a notification about purpose of use, disclosure, correction/addition/deletion, suspension/termination of use, suspension of distribution to third parties (hereafter referred to as Disclosures etc.) related to personal information, The Company will receive the request and respond in accordance with the methods outlined below.
    1. The Company asks that requests for Disclosures etc. be submitted to the Head Office General Affairs Department via registered mail with the necessary documents attached, or to The Company Website's Contact Form (General Affairs Department: Other Requests).
      1. Necessary documents, etc.
        • The Company's prescribed request form: download this Personal Information Disclosure etc. Request Form (EXCEL).
        • Personal identification confirmation documents: The Company asks that the individual making a request enclose a copy of any of the documents listed below bearing the individual's full name and current address. If there is a change to the address listed on the documents listed below, The Company asks that the individual send their Residence Certificate. In the case of a request submitted via The Company's website, The Company asks that a file with a photo of the documents listed below be attached.
          1. Residence Certificate (issued within the last three months)
          2. Driver's License (including a permanent address)
          3. Health Insurance Card
          4. Passport
        • In situations in which a request is being submitted by a representative, in addition to the documents listed above, The Company asks that the documents listed below also be attached.
          1. In the case of a legal representative (a person with parental authority, or a legal guardian of an adult), The Company asks that said representative download and fill out this Legal Representative Confirmation Form (EXCEL), and attach a separate document certifying the legal authority to represent the individual, and a document confirming the identity of the representative. For details, see the Confirmation Form listed above.
          2. In the case of a delegated representative, The Company asks said representative to download and fill out this Letter of Attorney (EXCEL), affix the official seal of said representative, and attach the representative's personal seal certificate and a document confirming the identity of the representative. For details, see the Letter of Attorney listed above.

            When submitting a request via email, The Company asks that a file with a photo of the certification documents/confirmation documents be attached.

        The Company asks that any downloaded Excel files be attached as PDF files or other file formats which cannot be edited.

      3. Method of Response
        • The Company will send notifications via postal mail with proof of delivery to the address registered on the received documents.
        • In the case of a request from a representative, The Company will send notifications to the address of the representative.
        • In the case of a request via The Company's website, The Company will send replies to the registered email address.

        The Company will dispose of documents confirming the identity of the individual or representative via the appropriate methods immediately after sending a response.

        Note that The Company cannot return any of the documents submitted.

        If The Company does not receive all of the necessary documents, The Company may return the complete set of documents submitted. In that case, The Company apologizes for the inconvenience, but asks that the request be submitted again.

        Note that even in cases in which the notification documents sent by The Company are returned due to failure of delivery, the response to the request for Disclosures etc. is considered to have been completed.

    2. Personal information acquired in relation to a request for Disclosures etc. is handled within the scope necessary to contact, confirm the identity of, etc., the individual or representative, or respond to the request for Disclosures etc.
    3. Notes related to Disclosures etc.
      The Company will, with regard to the personal information stipulated by the Act on the Protection of Personal Information, will respond to requests for Disclosures etc., except in the cases listed below.
      • Situations in which the identity of the individual or representative, or the right of said representative to represent the individual, cannot be confirmed (situations in which the address listed on the documents differs from the address listed on other documents and similar situations).
      • Situations in which the contents of the request for Disclosures etc. or application documents are incomplete.

      However, The Company will also not disclose personal information in any of the situations listed below. In addition, in cases in which personal information cannot be disclosed, the individual making the request will be notified as such.

      • Situations which would be in violation of the law.
      • Situations in which there is a risk of damage to the life, body, property, or other rights or interests of the individual or of a third party.
      • Situations in which there is a risk of causing significant hindrance to the proper implementation of The Company's business.
  8. Distribution to Third Parties Overseas
    The Company does not distribute personal information to third parties overseas.
  9. Revisions
    Revisions may be made to the matters published herein. In the case of such revisions, The Company will publish notices regarding the content of said revisions.
